Your website address may be familiar to everyone in the organization while the registrar account is familiar to only one outside developer. That becomes a business problem when the developer leaves, an invoice goes unanswered, or a DNS change is needed during an outage.
Know who can authorize the domain change
Registration rights and recovery need organizational ownership.
RDA treats the domain registration as an organizational asset with assigned responsibilities. The practical question is whether the organization can establish its registration rights, authorize changes, and recover access when a key person is unavailable.
Check the registration and the account
Identify the registrar, the registrant details held in its records, the renewal date, and who can administer the account. Public registration lookup may omit personal details, so check the actual registrar records and supporting documentation. Retain the agreement or purchase record in the organization's documentation.
Separate the connected services
The registrar, DNS host, website host, email provider, and developer may be different organizations. Record which one controls each service. A website hosting change does not automatically transfer the domain registration or its billing responsibility. Keep these responsibilities in the website service record.
ICANN's guidance recommends protective account practices and attention to registration contacts, authorized personnel, and renewal activity. Those are useful inputs to an RDA ownership and continuity review. ICANN registration account guidance
Protect the people who can make changes
Use individually assigned access or delegated roles where supported, protect administrator accounts, and maintain organization-controlled recovery arrangements. Confirm how an authorized backup person can act if the normal administrator is absent. The identity and authentication arrangements are dependencies, even when the registrar maintains its own user directory. Review User Credentials.
Make renewal an assigned responsibility
An automatic payment setting is useful only while the payment method and notifications still work. Assign an owner for renewal review, confirm where notices arrive, and record the process for billing or personnel changes. Store sensitive account credentials in the approved vault, rather than in the asset register.
RDA can help coordinate the registration, providers, access, and renewal responsibilities with the organization. Start by asking who can authorize a domain change today and who can do it if that person is unavailable.
