A flow that saves a few minutes can also change records, send information outside the organization, or remove a resource someone still needs. Define the decision and its consequences before scheduling it to run unattended.

Design the unsuccessful run

An automated action needs a controlled route when the expected result does not arrive.

Describe the inputs and the authority

Record what starts the workflow, which systems it reaches, what it reads or changes, and who owns the business result. Use a supported identity with appropriate permissions. A process tied to an employee’s personal connection can fail or retain access after that person changes roles.

For actions such as deleting a cloud resource or changing access, begin with a report and an authorized review. Confirm how inactivity is measured and which dependencies may not appear in the report. A resource can have little visible activity and still provide standby capacity, records retention, or a scheduled task.

Microsoft documents Power Platform data policies that govern connector use. Review existing flows when policies change because an enforcement change can affect a running process. Those controls complement the organization’s approval and integration review.

Test the failure cases

Use representative test records and check duplicates, partial failure, expired credentials, retry behavior, and unexpected input. Keep logs that let someone identify the affected records. Decide who receives a failure notice and how long the workflow can remain unattended before the owner is contacted.

Document how to disable the flow, return to a manual procedure, and correct an incorrect result. Where an action cannot easily be reversed, require a more deliberate approval and preservation step.

Before handing over the workflow, connect ownership to staff changes, information controls to data governance, and consequential changes to the project approval process. Have another responsible person run the documented operating and stop procedures while its creator is available to answer questions.
