Cancelling a subscription and completing a data handover are different events. The end of billing may change access before the organization has retrieved everything it needs.
Finish the handover before cancellation
Access and billing can end before the organization has retrieved usable records.
Ask what can actually be taken out
Inventory the records, attachments, history, configuration, permissions, reports, and integration data the organization needs. Ask the provider which items can be exported, in which formats, by whom, and within what time. Check the applicable agreement and current product terms; cloud services do not share one universal deletion or recovery timetable.
Try a representative export while the service is still available. Open it in the intended replacement or a suitable reader and have the information owner validate it. A downloaded file is not sufficient evidence if attachments, relationships, dates, or required audit records are missing.
Sequence the final change
Agree the final export, change freeze, migration checks, user communication, and rollback limits. Identify the point at which the old service can no longer be used safely or recovered. Keep required licensing or access in place until the authorized checks are complete.
Preservation duties, legal holds, and records schedules may require retaining particular information. The FTC’s information-protection guidance supports deliberate retention and disposal rather than keeping unexplained copies indefinitely. The organization’s responsible advisers must establish its specific obligations.
After acceptance, remove integration grants, unnecessary accounts, credentials, and scheduled jobs. Ask what data the provider retains, including backups and subprocessors, and what deletion evidence is available. A statement about the live application may not describe all retained copies.
Have the provider, replacement team, and information owner confirm the completed handover and any retained copies. Keep that record with vendor records, data governance, and recovery planning. A later question about the old service should have an answer beyond “the subscription was cancelled.”
